IFTA Record Keeping: What to Keep for an Audit
- Keep for 4 years from the return's due date or filing date, whichever is later (P510).
- Distance records: trip dates, origin and destination, route, odometer or hubometer readings, distance by jurisdiction and the unit number (P540).
- Fuel receipts: date, seller's name and address, quantity, fuel type, price, buyer and unit number (P550.300). Bulk-tank withdrawals need their own records (P550.400–.600).
- A monthly summary of distance and fuel per vehicle and jurisdiction is part of the records (P560). Haulfile Pro prints it from your files.
- Inadequate records: the auditor can use 4.00 MPG or reduce your MPG by 20% (P570).
